JOB SUMMARY:
The Student Recruiting and Admissions Coordinator is a full-time, classified, hourly employee who supports the district's student recruitment, admissions, enrollment, transition, and retention efforts under the direction of the Student Recruiting and Admissions Specialist. The Coordinator serves as a point of contact for prospective and current students, families, partner schools, and community members while coordinating recruitment events, processing applications, maintaining enrollment records, and supporting student transitions.
The Coordinator also supports student retention by proactively identifying and addressing concerns that may impact a student's success at Tolles, connecting students with appropriate resources, coordinating follow-up, and collaborating closely with Tolles and partner-school counselors. While the Coordinator supports student retention efforts, academic, social-emotional, and counseling services remain the responsibility of licensed school counselors.

RESPONSIBILITIES:
Recruitment & Admissions
- Serves as a point of contact for prospective students, families, and partner schools.
- Conducts presentations, tours, shadowing experiences, career fairs, and other recruitment activities.
- Processes applications, verifies documentation, and maintains enrollment records.
- Supports the planning, scheduling, setup, staffing, registration, communications, materials preparation, and follow-up associated with recruitment and admissions events.
- Responds to routine inquiries and escalates complex issues as appropriate.
Student Transition & Retention
- Supports the successful transition and retention of enrolled students through outreach and follow-up.
- Assists students and families who have concerns by identifying barriers and connecting them with appropriate resources.
- Collaborates with Tolles and partner-school counselors to coordinate support to help students.
- Maintains accurate documentation of retention efforts and communicates trends to the Student Recruiting and Admissions Specialist.
Operations & Collaboration
- Maintains recruitment, enrollment, and retention data using district technology systems.
- Monitors enrollment activity and identifies trends or concerns.
- Prepares recruitment materials and maintains departmental resources.
- Builds positive working relationships with counselors, educators, administrators, and partner schools.
- Participates in professional development and process improvement initiatives.
- Provides continuity of department operations when the Student Recruiting and Admissions Specialist is unavailable.
GENERAL DUTIES:
- Demonstrates professionalism, sound judgment, integrity, and outstanding customer service.
- Maintains confidentiality in accordance with Board policy and applicable law.
- Works independently, manages multiple priorities, and meets established deadlines.
- Maintains accurate records and communicates effectively with supervisors and colleagues.
- Collaborates with counselors, instructors, administrators, and student services staff to support student success.
- Maintains proficiency with district technology systems and communication platforms.
- Maintains punctuality, professional appearance, and dependable attendance.
- Performs other duties as assigned by the Student Recruiting and Admissions Specialist or district administration.
QUALIFICATIONS:
- Proficiency with Microsoft Office, Google Workspace, databases, spreadsheets, electronic forms, Canva, and other web-based technology; ability to quickly learn student information, admissions, and customer relationship management systems.
- Strong verbal and written communication skills, including the ability to effectively engage with students, families, educators, community members, and large groups.
- Excellent organizational, time management, and problem-solving skills with the ability to manage multiple priorities and meet deadlines.
- Experience in student services, admissions, recruitment, customer service, education, youth programming, office operations, or a related field preferred. Experience in career-technical education is a plus.
- Ability to maintain confidentiality, exercise sound judgment, and appropriately handle sensitive situations.
- Bilingual or multilingual communication skills are strongly preferred.
- Valid driver's license and reliable transportation.
- Ability to work a full-time schedule, including occasional evenings and weekends for recruitment events and school activities.
BENEFITS:
- Competitive salary: $49,000 to $60,000, commensurate with experience.
